Key Responsibilities :
Complete a broad variety of administrative tasks for executives including, but
not limited to: managing calendar of appointments, completing expense reports,
answer incoming calls and arranging complex travel plans, itineraries, and
agendas.
Oversee and manage long and short-term projects and timelines.
Coordinate and arrange meetings and prepare agendas, reserve and prepare
conference rooms for meetings and greet and coordinate activities for guests
and other attendees.
Ensure a smooth flow of communication and information to executives, senior
management, and clients.
Provide copying, faxing, mailing, and fed ex and courier services ensuring on
time preparation and delivery.
Prioritize conflicting needs, handle matters expeditiously, pro-actively, and
follow-through on projects to successful completion, often with deadline
pressures.
Assist with special projects as needed.
Competencies :
Ability to handle multiple assignments simultaneously and meet deadlines in a
fast-paced environment.
Exceptional interpersonal, communication (both oral and written),
organizational and time management skills.
Prior experience of handling sensitive and confidential business matters and
information with discretion.
Polished and have demonstrated experience and success interfacing with all
levels of internal staff and external clients and vendors.
Detail-oriented, articulate, flexible, reliable, discreet, and have a
professional and courteous phone demeanor.
Ability to exercise considerable judgement and discretion in handling calls and
requests for appointments.
Innovative self-starter who is able to solve problems quickly.
Recent, expert-level skills in Microsoft Office software, specifically Word and
Excel.
