One of MNC is looking to fill in the position of Executive Assistant. Details are as follows:

Position:            Executive Assistant

Reports To:        Managing Director/Chief Executive Officer

Location: Karachi (Head Office)

Education and Experience

  • At least 3 years experience providing support at the executive level
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite (Especially in PowerPoint and Advanced Excel)
  • Knowledge of standard office administrative practices and procedures
  • Minimum Bachelors degree. (Finance and Marketing Graduates would be preferred)
  • Should possess in depth knowledge of the executive’s taste and preferences to be able to plan his schedule according to his desired order.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, Marketing, Finance, and coordination of people and resources.

Main Job Tasks and Responsibilities

  • Prepare and edit correspondence, communications, presentations and other documents
  • File and retrieve documents and reference materials
  • Conduct research, assemble and analyze data to prepare reports and documents
  • Manage and maintain executives schedules, appointments and travel arrangements
  • Arrange and coordinate meetings and events
  • Record, transcribe and distribute minutes of meetings
  • Understand, Analyze, and interpret financial data and compile it on need basis.
  • Monitor, respond to and distribute incoming communications Receive and interact with incoming visitors
  • Interact with external clients
  • Co-ordinate project-based work
  • Review operating practices and implement improvements where necessary
  • Coordination and prioritization of the executive’s daily appointments and business obligations.
  • Comes up with ideas that will streamline work and indentifies incidents that require immediate attention in the organization.
  • Performs other related functions delegated or assigned to him in his capacity as an executive assistant.
  • Works efficiently with administrative assistants, which provide support for the executive employee.
  • Supervise and train lower level staff
